Privacy Policy

1. Who we are

MyCEOmind AI ("CEOmind," "we," "us," or "our") is a leadership development application that provides guided exercises, decision practice, AI-powered coaching, and progress tracking.

The service is operated by Sunetos AI Technologies Inc, a California company.

This Privacy Policy explains how we handle personal information when you visit our website, create an account, use our coaching tools, or connect a Google service.

Website: https://myceomind.ai/app
Privacy contact: support@myceomind.ai

2. Information we collect

The information we collect depends on the features you use.

Account information: Your name, email address, account role, and account preferences.

Coaching and development information: Information you submit through assessments, exercises, coaching conversations, decision logs, habit tracking, reflections, and other development tools. This may include information about your emotions, anxiety, personal experiences, and development goals. We also generate assessment results, progress records, trait estimates, and coaching feedback.

Community information: Profile information, posts, challenge participation, and leaderboard information you choose to share through optional social features.

Subscription information: Your subscription plan, payment status, and billing history. Stripe processes payments. We do not store your full payment card number.

Usage information: Feature interactions and session timestamps.

Google information: Information received when you use Google Sign-In or separately authorize an available Google integration, as explained below.

The application uses browser local storage to remember your onboarding progress and assessment results between sessions.

3. Google Sign-In

When you choose Google Sign-In, we receive your name and email address to authenticate you and create or identify your CEOmind account.

We use this information to manage your account and associate your activity with the correct account. We do not receive or store your Google password.

Using Google Sign-In does not, by itself, authorize access to your Google Calendar or Google Drive. Optional integrations require a separate authorization.

4. Optional Google Calendar integration

If you choose to connect Google Calendar, we access authorized calendar event information, including event titles, dates, times, attendees, and descriptions.

We use this information to provide calendar-based coaching insights, such as meeting load, focus time, and schedule fragmentation. Where you enable coaching-session synchronization, we create corresponding events in your Google Calendar.

Storage and processing:

Event titles, dates, times, attendees, and descriptions are processed temporarily in memory to calculate aggregate metrics. The following aggregate pattern insights are stored: total event count, total meeting hours, total focus hours, strategic planning hours, after-hours event count, one-on-one meeting count, recurring meeting count, fragmentation score, and deep work block count. A human-readable pattern summary and inferred related competencies are also stored. Raw event titles, attendee lists, and descriptions are never stored. No raw-data retention setting exists; raw event data is always discarded after aggregate patterns are calculated. Calendar pattern records are retained for the lifetime of your account to provide continuity in your development journey.

AI processing:

Calendar-derived aggregate pattern summaries (such as "Your scheduled time this week was heavily weighted toward meetings") are included in AI coaching prompts to generate personalized coaching responses. Raw calendar event data — titles, attendees, and descriptions — is never sent to any AI provider.

You can stop future access by disconnecting the integration from the Integrations Center within the application, or by removing CEOmind's access through your Google Account permissions. Disconnecting does not automatically delete information already stored by CEOmind; deletion options are described below.

5. Optional Google Drive integration

If you choose to connect Google Drive, we use the integration to save coaching summaries to your Google Drive at your request.

This involves sending the summary's content and file name to Google so that Google can create the file. The application receives a file ID and file name back from Google's API but does not currently store these references in its database. The application does not read, update, or access any existing files in your Google Drive, including files it previously created.

Copies exported to Google Drive remain in your Google account until you delete them there. Disconnecting Drive or deleting your CEOmind account does not automatically delete those exported copies.

A coaching summary generated and retained within CEOmind is separate from the copy exported to Google Drive. Its retention follows the rules below.

6. How we use information

We use personal information to:

  • Create, authenticate, and maintain your account.
  • Provide exercises, coaching, assessments, and progress tracking.
  • Generate personalized feedback and development insights.
  • Provide Google integrations you choose to enable.
  • Process subscriptions and maintain billing records.
  • Send service messages, account notices, and communications about your use of the application.
  • Support users, investigate errors, and protect the service against misuse.
  • Improve our content and methods using non-Google information as described in this policy.

We do not sell personal information or use Google user data for advertising, data brokerage, credit assessment, or lending decisions.

7. Service providers and disclosures

We share information where necessary to provide the service:

  • Application platform provider: Provides the application platform, including hosting, database, authentication, and integration management. The platform provider processes and stores account information, coaching and development information, integration data, and usage information as part of operating the service.
  • Stripe: Processes payments and provides subscription and transaction information.
  • AI providers: Receive your coaching questions, decision descriptions, assessment answers, submitted email and communication text, and growth evidence observations (including calendar-derived aggregate pattern summaries) to generate personalized coaching responses. The platform uses automatic model selection to match each request with the engine best suited for the task.
  • Email delivery providers: Process transactional, engagement, and re-engagement email content to deliver service communications.

We may disclose information when required by applicable law or when necessary to investigate abuse or protect the security of the service.

Information you voluntarily publish through community features is visible to the audience indicated for that feature. Private coaching records are not made public merely because you participate in a community feature.

8. Google data and artificial intelligence

Google information is used for the authorized features described in this policy. Any processing by an AI provider is disclosed in Section 7.

We do not use Google user data, including information derived from Google Calendar or Google Drive, to develop, improve, or train generalized or non-personalized AI or machine-learning models.

We do not sell Google user data or disclose it to advertising networks, data brokers, or information resellers.

MyCEOmind AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

9. Storage, security, and access

We store information using the service providers described above and restrict access to authorized purposes.

Safeguards include encrypted data transmission using TLS/SSL, encryption of data at rest, row-level security on user data records that restricts each user to their own records, strict separation between private growth data and public social metrics, admin-only access to financial records, and OAuth-based external integrations that require explicit user consent. OAuth tokens for connected integrations are stored securely by the platform and are not accessible to end users. Stored API keys and integration credentials are encrypted at rest.

Authorized personnel may access information when needed to provide support, maintain security, or meet legal obligations. Access to Google user data is additionally limited by the applicable Google policies.

No security measure can guarantee protection against every possible incident.

10. Retention and deletion

We retain account and development information while needed to provide your account history and the features you use.

Our retention periods are:

  • Account, coaching, and development records: Retained for the lifetime of your account. When you request account deletion, records are deleted from active datasets and remain recoverable for 30 days, after which they are permanently deleted.
  • Google Calendar event data and derived insights: Raw calendar event data (titles, attendees, descriptions) is never stored — it is processed in memory and discarded immediately after aggregate patterns are calculated. Derived aggregate pattern insights are retained for the lifetime of your account and deleted when you request deletion of your external data or your account.
  • Integration credentials and tokens: OAuth tokens are revoked immediately when you disconnect an integration or delete your account. The disconnection is performed through the Integrations Center in the application or through your Google Account permissions.
  • Application and security logs: Platform runtime logs include records of data creation, updates, deletions, and restorations. The retention period for these logs is determined by the platform.
  • Backups: Platform-managed backups may retain deleted data for a limited period. The specific retention period depends on the platform plan.
  • Billing records: Retained for applicable accounting and legal requirements.

To request deletion of your account, Google-derived information, or other personal information, contact support@myceomind.ai. You can also delete external integration data directly from the Integrations Center within the application by using the "Delete Data" option for a connected service, or by requesting account deletion through in-app support tools.

We may need to verify your identity before processing a request. If some information must be retained for legal reasons, we will explain the applicable limitation.

11. Disconnecting Google access

You can remove CEOmind's authorization through your Google Account's third-party connections settings. You can also disconnect from within the application by navigating to the Integrations Center and selecting "Disconnect" for the connected Google service.

Removing access prevents further authorized access to the disconnected Google service. It does not automatically erase previously stored information.

To delete stored Google information or derived insights, use the deletion process in Section 10. Files previously exported to your Google Drive remain under your control in Google Drive.

12. Your choices and privacy requests

Depending on your location and applicable law, you may have rights to access, correct, delete, or receive a copy of your information, restrict or object to certain processing, or withdraw consent.

You may also choose not to connect optional Google integrations or participate in community features.

Contact support@myceomind.ai to exercise your rights. We respond within applicable legal deadlines. Withdrawing permission for an optional feature may prevent that feature from working.

You can manage email notification preferences — including daily digests, streak reminders, coaching session reminders, and re-engagement emails — from the Notification Preferences page within the application.

13. Children

MyCEOmind AI is intended for adults aged 18 and older. We do not knowingly collect personal information from children.

If you believe a child has provided information, contact us so that we can investigate and take appropriate action.

14. Changes to this policy

We update this policy when our practices change and revise the date above.

For material changes, we provide an appropriate notice. Before accessing additional Google information or using Google information for a newly disclosed purpose, we provide the necessary disclosures and obtain consent where required.
